This policy explains what personal information VEXONA ("we", "us") collects through this website, why we collect it and the choices you have. VEXONA has been in business since 2018 and is based in Delhi, India.
1. Information we collect
- Details you give us — name, email, phone number, company, preferred contact method, budget, deadline and the description of your requirement when you place an order, request a quote or use a contact form.
- Files you upload — documents, spreadsheets or images you attach to an order or inquiry.
- Payment information — online payments are processed by our payment provider. We receive confirmation of payment and a transaction reference; we do not receive or store your card or bank details.
- Newsletter sign-ups — your email address, if you subscribe.
- Technical data — basic server logs (such as IP address and browser type) used to keep the site secure and working.
2. How we use it
- To review your requirement, prepare quotes, deliver services and provide support.
- To send order confirmations, payment receipts and status updates.
- To respond to messages and inquiries.
- To send updates you asked for, if you subscribed. You can unsubscribe at any time.
- To keep the site secure and prevent abuse.
3. Where your information is stored
Orders, inquiries and messages are recorded in Google Sheets (Google Workspace) controlled by us, and email notifications are sent through our email provider. Uploaded files are stored privately on our server and are accessible only to authorised staff. We use the payment provider named at checkout for online payments. These providers process data on our behalf under their own terms and safeguards.
If you use the website assistant (the "Ask us" chat), the messages you type are sent to our AI provider, Anthropic, so that it can generate an answer. Please do not put sensitive personal information (such as bank or identity numbers) in the chat. The conversation is kept only in your browser tab; nothing is sent to our team unless you review a message and press Send.
4. Cookies and browser storage
We do not use advertising or tracking cookies. Your browser's local storage keeps your light/dark theme choice, the items in your order cart and your saved services, on your device only. Staff sign-in uses a secure session cookie on the admin area.
5. Sharing
We do not sell your personal information. We share it only with the service providers described above, when required by law, or with your consent.
6. Retention
We keep order and inquiry records for as long as needed to deliver the service, provide support and meet our accounting and legal obligations, and uploaded files for up to 12 months after a project ends, unless the law requires longer. You can ask us to delete your information earlier.
7. Your rights
Depending on where you live, you may have the right to access, correct or delete your personal information, object to or restrict certain processing, and withdraw consent. To exercise these rights, contact us at the address below. If you are in India, these rights are those provided by the Digital Personal Data Protection Act, 2023, including the right to have a grievance addressed by us. If you are in the European Economic Area or the United Kingdom, you may have additional rights under the GDPR.
8. Security
We use measures such as encrypted connections, server-side validation, access controls and private file storage. No system is perfectly secure, so please do not send information you are not comfortable sharing for the purpose of your project.
9. Children
Our services are for businesses and are not directed at children.

We may update this policy and will change the date above when we do.
